What we collect, and when
When you only browse, our web host keeps standard server logs (the page requested, the time, your network address and browser type) for security and troubleshooting. We do not run advertising trackers or an analytics service on this site at this time. If that changes, this policy will say so.
When you send a form (contact, get involved, business help intake, board interest, gala nomination, community event submission, or a message to a member), we keep what you typed, the date, and a one-way hash of your network address used only to limit abuse. Form submissions are stored in our member database and emailed to the chamber office.
The business help intake form asks, optionally, about race and ethnicity. The chamber asks this for the reporting its no-cost business assistance programs require. Answering is optional, never affects whether you get help, and only chamber staff see the answers.
When you apply for membership, we keep every answer in your application: your business, contacts, billing contact, description, level, payment choice, certifications, legal structure, newsletter and advising choices, and your typed signature with the date and the network address it was signed from, as the record of your agreement. We create an account for you at the same time.
When you have an account, we keep your name, email, phone, language preference, role (member or chamber staff), whether you accept messages, and when you last signed in. Sign-in uses a session cookie (described below).
When you pay dues online, a payment processor handles the payment. We never see or store your card number. We keep the amount, the date, the payment method and the processor's reference numbers so the chamber can match the payment to your membership. Invoice payments are recorded by chamber staff.
When you manage your listing, the changes you request, the logo and photos you upload, the events you submit and the messages you receive are stored with your membership. Uploaded images are re-encoded and their embedded metadata (such as camera and location data) is removed.
The member directory is public
Once your application is approved and paid, your business listing appears on a public web page and is indexed by search engines: business name, description, address, phone, website, social links, hours, logo and photos, categories, certifications and partner tier. The listing never shows the account holder's personal email or sign-in details. You can request changes or removal through the member portal or by contacting the office.
Listings for members who have not yet signed in show only what the chamber already published on its previous website: business name, street address, city and phone.
Messages to members
Visitors can send a message to a member through the form on the member's listing. We store the sender's name, email, phone (if given) and message, and relay the message to the member by email with the sender's address as the reply-to. The member's email address is not shown to the sender. Members can turn messages off in the portal. Chamber staff can see messages to handle abuse.
How we use it
- To review and decide membership applications, which the chamber's board of directors approves.
- To run your membership: the directory listing, member events, messages, dues, receipts and renewal reminders.
- To answer the forms you send and to connect you with business help you asked for.
- To send emails about your account, application, payments, listing changes and events. These are part of the service, not marketing.
- To keep the site safe: rate limits, a spam check on forms, and a log of who changed what in the member database.
The newsletter is separate. We only add you to the chamber's newsletter list if you say yes on the application or sign up for it, and every newsletter has an unsubscribe link. The newsletter is sent through a separate email marketing service the chamber uses.
Who sees it
- Chamber staff and the board, to review applications and run the chamber. Hello Habanero, the company that builds and supports this website, has staff-level access to support the site.
- Our service providers, by role: a web host, which also keeps server logs; a database and file storage service, which holds the member database and uploaded images; an email delivery service, which sends the emails described above; a payment processor, which handles online dues; and a spam prevention service from Google, which scores behavior on our forms to tell people from bots.
- The public, for the directory listing and the events you ask to publish, once approved.
- Anyone else only if the law requires it or to protect the chamber, its members or the site.
We do not sell your information, and we do not share it with other organizations for their marketing.
Your choices
- See, correct, export or delete your information: edit your account and listing in the member portal, or email info@tchispanicchamber.com. Chamber staff can export your account data or delete your account from the admin screens.
- Messages: turn directory messages off in the portal under Account.
- Newsletter: use the unsubscribe link in any issue, or ask the office.
- Forms: only the fields marked required are needed. Phone numbers are used to call you back; we do not send marketing text messages.
- Global Privacy Control and Do Not Track: this site runs no analytics or advertising trackers, so there is nothing to opt out of. If analytics is ever added, these browser signals will be honored.
How long we keep it
Account and membership records are kept while you are a member and for the period the chamber needs them afterward for its own records. Form submissions, messages and event submissions are kept while they are useful to the office. The chamber sets these periods; contact the office for the current schedule or to ask for earlier deletion.
Security
The member database enforces access rules on every row, so a member can only reach their own records and the public can only reach published listings and events. Secrets and keys are kept out of the pages. The site is served over HTTPS. No system is perfectly secure, and if a breach affects your information we will tell you as the law requires.
Children
This site is for businesses and adults. We do not knowingly collect information from children under 13.
Changes to this policy
When the site changes in a way that affects your information, this page changes with it and the date at the top is updated.
